Skills Solution

Visualise the gap between have and need.

What is a skills matrix?

A grid where rows are employees and columns are skills. Each cell holds a proficiency level from 1 (Beginner) to 5 (Expert). It surfaces where your bench is strong, where it's thin, and which training programs to launch first.

WORKSPHR catalogs every skill in your organisation, plots every employee against every skill, and exports the entire matrix to Excel for offline talent reviews and upskilling roadmaps.

Most companies don't know what their team can actually do

Resumes lie, LinkedIn is stale, and managers' memories are biased. Without a skills matrix you can't plan training, staff projects, or backfill exits — you guess. WORKSPHR makes the bench visible at a glance.

Single-point failure
Only one engineer knows the legacy system
Wasted training spend
Re-teaching skills the team already has
Slow project staffing
PMs scramble through Slack to find a Python dev
Hiring before upskilling
Hiring outside when an internal could grow into the role

How it works.

Step
1

Catalog the skills you care about

In Skills → Skill Catalog, click +Add Skill. Name, category (Technical / Leadership / etc.), description. Build the org-wide directory.

Step
2

Assess employees in the matrix

Switch to Skills Matrix tab. Tap a cell to open the drawer, set the proficiency level (1–5), add notes. Repeat per employee per skill.

Step
3

Spot gaps, launch training, repeat

Use the heatmap to find underbenched skills. Launch a training program tagged to that skill. Completion auto-bumps proficiency. Re-export to .xlsx for board prep.

  • What is a skills matrix?
A grid that shows employees as rows and skills as columns, with each cell holding a proficiency level (1–5). It surfaces where your bench is strong, where it's thin, and which training programs to launch first.
  • What proficiency levels does WORKSPHR use?
Five levels: 1 Beginner (basic awareness, requires supervision), 2 Basic (with guidance), 3 Intermediate (independent), 4 Advanced (can mentor), 5 Expert (deep expertise, can lead initiatives). Color-coded for fast scanning.
  • Can I export the matrix to Excel?
Yes. GET /skills/matrix/export streams an .xlsx file with rows = employees, columns = skills, cell = proficiency level. Headers include department and position. Used for offline talent reviews and upskilling roadmaps.
  • How are training programs linked to skills?
When creating a training program, HR tags which skills it develops. On completion, the employee's proficiency on those skills auto-increments (governed by the auto_update_proficiency_on_completion config). Closes the gap → training → upskill loop.
  • Who can edit proficiency levels?
HR Admins and Managers (within their team scope). Inline edit from the matrix cell opens a detail drawer where the new level + notes are saved. Self-Data-Only users can view the Skill Catalog read-only but cannot access the Skills Matrix tab.
