From notice to COE in three steps.

Initiate the offboarding

From the employee profile click Begin Offboarding. Pick the separation type, last day of work, and the right template. WORKSPHR creates the workflow and notifies every responsible department.

Work through clearance + exit interview

Each department ticks off its items inline. HR records the exit interview in the same modal. The progress bar updates live and the days-countdown badge keeps everyone honest about the deadline.

Complete + hand off to final pay

When clearance is 100% and the interview is recorded, click Complete Offboarding. Status flips to Separated, the COE is generated, and a final-pay clearance workflow is auto-initiated.

  • Does WORKSPHR offboarding handle the DOLE 30-day notice rule?
    Yes. The Days Countdown badge tracks the 30-day notice period required by Article 300 (formerly 285) of the Labor Code for resignations. Red flag at ≤3 days, amber at ≤7, green beyond. HR sees at a glance who needs follow-up before final clearance.
  • What separation types are supported?
    Seven: Resignation (amber badge), Termination (red), Retirement (blue), Redundancy, Contract End, Death, and Other. Each type maps to its own offboarding template so the right clearance items, document checklist, and final pay rules are applied automatically.
  • Can the clearance checklist match our actual departments?
    Yes. Templates are fully configurable: IT, Finance, HR, Admin, Department, or Other. For each item you set the description, the responsible party, and whether it's mandatory. Many Filipino employers use one template for resignations, another for terminations.
  • Does it generate a Certificate of Employment (COE)?
    Yes. The Final Pay & Documents tab includes the COE checklist item. Once clearance is complete WORKSPHR auto-generates the COE per DOLE Labor Advisory 06-20 (issued within three days of request) along with the exit letter and NDA reminder.
  • What does the exit interview capture?
    A configurable survey: reason for leaving, what to improve, would-recommend rating, overall experience score. Responses feed into Offboarding Analytics so leadership can see exit trends, attrition drivers, and avg clearance days, all in one dashboard.
  • How is final pay computed when an employee resigns?
    Once all clearance items are checked off, click Complete Offboarding. The next payroll run computes final pay: remaining salary through last working day, unused SIL monetization, pro-rated 13th month, less SSS/PhilHealth/HDMF/BIR, salary loans, and any unreturned-asset deductions.
