What is the WORKSPHR AI HR Assistant?

A floating chat widget embedded in the Employee Self-Service portal. Employees ask questions about their own leave balance, latest payslip, probation date, work schedule, and assigned documents, in plain English or Tagalog. Powered by OpenAI GPT-4o-mini, scoped to the logged-in user's data only, audit-logged on every turn.

No retraining HR on yet another chatbot tool. No more "what's my leave balance?" Slack messages. The assistant lives where employees already are, in their portal.

In most Filipino HR teams, the bulk of helpdesk tickets are employees asking about data they could see themselves, if they knew where to look. The portal has the data. Employees don't always find it. The AI assistant closes that gap.

How the assistant is built.

Five things we built deliberately, and a few we deliberately did not. We are honest about what AI can and cannot do for HR.

How it works for an employee.

Tap the chat bubble

A pulsing chat icon sits in the bottom-right of every ESS page on web and mobile. One tap opens the panel with a personalised greeting and four quick-action chips.

Ask in plain language

English, Tagalog, Taglish, “Magkano sweldo ko this cycle?”, “Ilang sick leave pa ako?”, “When is payday?”. The assistant figures out the question and pulls only your data.

Get an answer in 2-4 seconds

A short, direct answer with the exact numbers from your records. If the question is out of scope, the assistant says so and points you to the right module or HR contact.

  • Does my chat go to OpenAI?
    Yes. We send your message plus a PII-minimized payload (your name, your leave balance row, your latest payslip summary, your org name) to OpenAI's GPT-4o-mini API. We do not send other employees' data, your bank details, or your password. OpenAI's API does not train on the data we send through it, that's an explicit term of their API service.
  • Which AI model does WORKSPHR use?
    OpenAI GPT-4o-mini by default. We chose 4o-mini because it is small, fast, predictable, and cheap, qualities that matter more than raw intelligence for an HR FAQ bot. The model can be swapped at the org level by Enterprise customers (we support GPT-4o, Claude, and on-request models).
  • Can my manager or HR see my conversations?
    Every request and reply is written to the ai_assistant_messages audit table. Org admins and users with the audit_logs:read permission can view conversations. This is intentional, the assistant is a workplace tool, not a private channel. Tell your team this upfront. Direct managers do not get access by default; only HR admins do.
  • What languages does the assistant support?
    English and Tagalog work well out of the box. Taglish (mixed) also works. Cebuano and Hiligaynon work for short queries but the assistant will sometimes reply in English. We do not market it as a multilingual product yet, we want to test more before claiming that.
  • What can the assistant NOT do?
    It cannot file leave requests, change your data, see other employees' records, give legal advice on Labor Code disputes, predict your next salary increase, or answer anything outside HR data scope. If you ask it to do these things it will politely decline and direct you to the right module or person. We deliberately scoped it small so it would be reliable, not impressive.
